Work smarter and faster with these handy Outlook tips
Microsoft Outlook is already the go-to mail program of the business community in the Netherlands. Chances are that you also work with this program every day. And then you might as well be smart about it, right? Outlook offers many handy features that allow you to tick off your tasks even faster. We highlight five of those gadgets for you.
- Easier to plan meetings via Share Calendar
This option is especially handy when everyone works from home. By sharing your calendar, you can see what other people’s workday looks like. This can help you plan meetings and divide tasks. To do this, go to Calendar and then to Share. In the field that appears, specify with whom you want to share your calendar and what information should be visible in your calendar.
- Increase your security by blocking phishing emails
Phishing emails are one of the biggest risk factors for your data security. You want to keep your mailbox free from these fraudulent messages. You don’t have to depend on your IT administrator to do so. Do you receive such an email? Then right-click on it, choose Security Options, and click on phishing. This will block the sender and make your work safer.
- Always a tidy mailbox thanks to rules
You receive countless emails every day, but not every email is equally important. Think of external newsletters or other emails that do not require immediate action. It is convenient if these emails automatically end up in designated Outlook folders so that your inbox remains orderly. You can do this by setting rules under Settings. Here you determine what happens to specific mails, such as automatic deletion or movement to a designated folder—top for your focus.
- Keep your focus and turn off pop-up notifications
Usually, you don’t have to respond immediately to every incoming email. Yet we often tend to do so, especially if Outlook’s notification sound is on. Therefore, turn it off and check your mailbox at regular intervals. That way, you will not be distracted, and you will be able to concentrate longer. This is not only good for your productivity but also for reducing your stress level.
- Send attachments using Office 365 apps
If you use Outlook as part of Office 365, it is possible to create links with other apps such as Word, Excel, and Teams. You can then add files as attachments to emails directly from those apps. For example, in Word, go to File and click Share. You can now add the message directly as an attachment. That’s just a bit faster.
